Dashboards are shared from Share this dashboard, which offers two audiences:
  1. Everyone at your organization: every member can open the dashboard.
  2. Specific people: Add people grants access to selected members only.

What can be shared

A dashboard is private to the person who created it until it is shared. A shared dashboard appears in the dashboard list of everyone it is shared with. Surveys have no share dialog. A member opens the surveys that their role opens: every survey of the organization, or only the surveys selected for the role. Access in a survey’s menu adds the survey to a role’s selection. See Survey access. Media files have no share dialog either. In the media library, a file stays in My uploads until Move to organization library moves it to the Organization library, where everyone in the organization can use it.

Share a dashboard

1

Open the share dialog

On the dashboard, select Share.
2

Share with the organization

To share with everyone, turn on Share with the organization and select Can view or Can edit.
3

Share with specific people

To share with selected members, search for each one under Add people and select Can view or Can edit for them.
Copy link copies the dashboard’s address, which opens only for people the dashboard is shared with. Make private removes the organization share.

Who can do what

  • Only the person who created a dashboard can share it or delete it. Everyone else sees the share dialog read-only.
  • When a dashboard is shared with the organization, its owner chooses Can edit or Can view. With Can view, only the owner and the people given Can edit individually edit it.
  • A person the dashboard is shared with individually views or edits it, as their own Can view or Can edit says, and the owner can change that choice later. A person who can only view it can make their own copy to change.
  • While the dashboard is shared with the organization with Can edit, everyone can already edit it, so Add people is not offered.
  • Editing any dashboard also needs a role with the Manage dashboards and reports permission.
  • A dashboard shared with the organization can be included in anyone’s scheduled report. A private dashboard is included only in its owner’s reports, even when it is shared with specific people.

How access changes

  • A dashboard can be shared with several people at once.
  • Remove access takes effect immediately.
  • When a teammate shares a dashboard with you, you receive a notification with a link to it.
