For 62 tools that Usertick doesn’t connect to natively, such as Salesforce, Pipedrive and Notion, a Zap in Zapier does the work in the tool. The Zap starts from the Usertick app for Zapier in one of two ways:
  • From a workflow. The tool is a step in a workflow, and the workflow decides which responses reach the Zap. See Send responses from a workflow.
  • From a ready Zap. The tool’s tile in Settings → Integrations opens a Zap that runs on each new response. See Use a ready Zap.
Tools with Zapier require the Starter plan or higher.
The Usertick app for Zapier is in early access, so joining requires an invite. The invite only needs to be accepted once, before the first Zap.

Choose a workflow or a ready Zap

A Zap made for a workflow step has two steps: the Usertick trigger Workflow Step and the tool’s action. The workflow’s conditions, If / else branches, waits and AI analysis decide which responses reach the Zap, so the Zap needs no filter of its own. Zapier’s free plan allows two-step Zaps, so such a Zap works on that plan unless the tool is a premium app on Zapier, which needs a paid Zapier plan. A ready Zap from a tile runs on each new response. Limiting it to some responses takes another Usertick trigger, such as Response Analyzed with its feedback types and urgency, or a filter step in Zapier, and filter steps need a paid Zapier plan.

Send responses from a workflow

1

Add the tool's step

In a workflow in edit mode, select the tool under With Zapier in the step list, or drag it onto the canvas.
2

Choose what the Zap does

In the step’s panel, select an action under What the Zap does in followed by the tool’s name, such as What the Zap does in Salesforce.
3

Accept the Usertick invite in Zapier

If this is your first Zap with Usertick, select Open the invite and accept the invite on Zapier.
4

Create the Zap

Select Create the Zap in Zapier, and Zapier opens in a new tab with the Usertick trigger Workflow Step and the chosen action already selected.
5

Select the step in Zapier

In the Zap’s Workflow step field, select the step that the panel names under In Zapier, such as “Low scores to Salesforce: Salesforce”.
6

Finish the Zap and turn it on

In Zapier, connect both accounts, fill in the fields that the tool receives and turn the Zap on.
7

Publish the workflow

After the step’s panel says “A Zap is on for this step.”, select Publish workflow.
The Zap can be created before the workflow’s first publish, because Zapier lists the Zapier steps of a workflow’s draft too.

What the step shows

Under Add a step, the With Zapier group comes last and lists each tool with its logo and its line, such as “Create cases, leads or notes from responses.” for Salesforce. Search steps finds a tool by its name, by that line or by the word “Zapier”. On the canvas, the step’s card shows the chosen action, such as “Create a case or any other record”, above the tool’s name followed by “with Zapier”, such as “Salesforce with Zapier”. Selecting the card opens its panel:
  • A line that says whether a Zap receives the step: “A Zap is on for this step.” or “No Zap is on for this step yet. To publish the workflow, create the Zap in Zapier and turn it on.”
  • The Zap, which lists the Zap’s two steps as they read in Zapier: 1. Trigger in Usertick with Workflow Step, then 2. Action in the tool with the chosen action.
  • What the Zap does in the tool, with the tool’s actions as the tools list them. Changing the action changes the card’s title and the Zap that Create the Zap in Zapier opens.
  • In Zapier, which names the step as the Zap’s Workflow step field lists it: the workflow’s name and the tool. When a workflow has two steps for one tool, the second is numbered, such as “Low scores to Salesforce: Salesforce (2)”.
  • The same notices as the tool’s panel in Settings: the plan, a premium app on Zapier, what else the tool needs, and the invite.
  • Open the invite, while the Usertick app is invite only, and Create the Zap in Zapier.

How the step runs

  • When a run reaches the step, Usertick sends the response to the Zap, and the Zap does the action in the tool. The Zap receives the fields that What you can map lists, with Event set to the event that started the workflow and each question of the workflow’s survey as its own field.
  • A step sends to one Zap. When a Zap is already on for the step, turning on a second one fails in Zapier with “This Usertick workflow step already sends to another Zap. Turn that Zap off, then turn this one on.” To send responses to two tools, or to do two actions in one tool, the workflow needs a step for each.
  • When Zapier tests the trigger, it shows the newest responses of the workflow’s survey as samples. The samples follow the event that starts the workflow and don’t apply the workflow’s conditions.
  • Each send appears in the workflow’s Activity. It also appears under Settings → Developers → Webhooks, in the row of the Zap’s subscription, which reads “A workflow’s Zapier step”. That row’s panel shows Sends with “A workflow’s Zapier step” and Workflow with Open the workflow.
  • An alert, a workflow that starts When a number crosses a line, has no response to send, so its step list has no With Zapier group.

Publish, test and turn the Zap off

  • A workflow can’t be published while one of its Zapier steps has no Zap that is on. To fix before publishing lists the step with “No Zap is on for this step. Create the Zap in Zapier and turn it on.”
  • A Test run never sends to the Zap, because the Zap would run for real. The step shows Skipped with “A test doesn’t send to the Zap, because the Zap would run for real. Test the Zap in Zapier.”
  • When the Zap is turned off, or its subscription is deleted under Settings → Developers → Webhooks, a run that reaches the step fails with “No Zap is on for this step. Turn on its Zap in Zapier.”, and the run stops there. After 20 failed runs in a row, Usertick pauses the workflow, as When a step fails describes. After the Zap is turned on again, the step sends again.
  • When the workflow is deleted, Usertick removes the subscriptions of its Zapier steps. Their Zaps stay on in Zapier without receiving anything, and they can be turned off there.
  • After a Zapier step is deleted from the workflow and the workflow is published, the step’s Zap receives nothing more.
In Zapier, selecting a workflow step requires that the person who connected Usertick has the Manage workflows permission. Without it, Zapier shows “Usertick did not allow this. Check that you can manage workflows in that organization, or reconnect Usertick in Zapier and approve every permission.” On the Free plan, the tools under With Zapier are locked, and the step’s panel says “Usertick on Zapier is part of the Starter plan.”

Use a ready Zap

Each tool also has a tile in Settings → Integrations whose Zap starts from the Usertick trigger New Response and runs on each new response.

Find the tools

  • In Settings → Integrations, the With Zapier chip above the tiles lists the tools by category.
  • Under All, the same tiles follow the tools that Usertick connects to natively.
Each tile shows the tool’s name and one line about what a Zap can do with it, such as “Create cases, leads or notes from responses.” for Salesforce or “Open an issue for each response.” for GitHub. Search integrations finds a tool by its name, that line or its category, and searching for “with Zapier” finds them all. A tool with Zapier never connects inside Usertick. Its tile stays in the list of tools to add, and the Zap does the work in Zapier.

What the panel shows

Selecting a tile opens the tool’s panel. The header repeats the tile’s line under the tool’s name, and a small flow at the top shows the path a response takes: Usertick, then Zapier, then the tool. Below the flow, the panel shows:
  • What a Zap can do, the tool’s actions, as listed in the tools below.
  • When it runs, which says “The Zap runs on each new response.” and names the other Usertick triggers.
  • For a premium app, a notice such as “Salesforce is a premium app on Zapier, so it needs a paid Zapier plan.”
  • For a tool that needs something besides the Zap, a notice that says what. Google Chat needs a Google Workspace Business or Enterprise plan and an admin’s approval of the Zapier app. Trustpilot’s guidelines ask businesses to invite all of their customers, so leave the score out of any filter step. Twilio needs a WhatsApp sender before it can send WhatsApp messages.
  • For every tool, the notice “Zapier’s free plan allows two-step Zaps only.”
  • Set it up, with the steps and the button that opens Zapier.
  • A link named after the tool, such as See Salesforce on Zapier, which opens the tool’s own page on Zapier.
On the Free plan, the panel also says “Usertick on Zapier is part of the Starter plan.”

Set up a ready Zap

1

Open the tool's panel

In Settings → Integrations, select With Zapier, then select the tool.
2

Accept the Usertick invite in Zapier

If this is your first Zap with Usertick, select Open the invite and accept the invite on Zapier.
3

Create the Zap

Select Create the Zap in Zapier, and Zapier opens in a new tab with the Usertick trigger New Response and the first action in the tool’s list already selected.
4

Finish the Zap in Zapier

In Zapier, connect both accounts, choose the survey, fill in the fields that the tool receives and turn the Zap on.
When Zapier asks to connect Usertick, the connection is approved in Usertick. See Connect for who can approve it.

Triggers

A ready Zap starts from New Response. Any of these Usertick triggers can be selected in the Zap editor instead: The fifth trigger, Workflow Step, starts when a workflow reaches its Zapier step, as Send responses from a workflow describes. The Zapier page lists each trigger’s filters and fields.

Zapier plans

  • Zapier’s free plan allows two-step Zaps only. A Zap for a workflow step and a Zap made from a tile each have two steps: the Usertick trigger and the tool’s action.
  • A premium app on Zapier needs a paid Zapier plan. Five tools in this list are premium apps: Salesforce, Zoho CRM, Microsoft Dynamics 365 CRM, ServiceNow and Shopify.
  • Usertick on Zapier is part of the Starter plan and higher. Zapier bills its own plans separately.

The tools

The first action in each row is the one a ready Zap opens with and a new workflow step starts with. A workflow step offers the actions in its row under What the Zap does in the tool, and the Zap editor can switch to any other action the tool has on Zapier.

Native, with Zapier or a webhook

  • When Usertick connects to a tool natively, as the catalog lists, a workflow sends the response, and the workflow’s activity shows every send.
  • When Usertick has no native connector for a tool, a Zap sends the response, and the Zap’s history is in Zapier. From a workflow’s Zapier step, the workflow’s activity also shows each send.
  • When the destination is your own system, a webhook sends signed requests that Usertick retries and logs.
