- Threshold alerts: a workflow that posts once when a number such as NPS crosses a line you set.
- Scheduled reports: a survey’s results or a dashboard as a PDF report, posted to a channel on a schedule. Scheduled reports require the Pro plan or above.
- Personal notifications: your own Usertick notifications in your chat with the Usertick app.
Connect Microsoft Teams
Connecting has two parts: signing in with Microsoft in Usertick, and adding the Usertick app to a team in Microsoft Teams. The two parts can happen in either order, and a team appears in Usertick after both are done.1
Open the Microsoft Teams integration
In Usertick, go to Settings → Integrations and select Microsoft Teams.
2
Sign in with Microsoft
Select Sign in with Microsoft and sign in with a work or school account of your Microsoft 365 organization.
3
Add Usertick to a team
After the sign in finishes, select Add to Teams under 2. Add Usertick to a team, and Microsoft Teams opens the Usertick app.
4
Select the team
In Teams, add the app to a team, select the team or one of its channels and select Go.
5
Check the channels
Back in Usertick, the team appears in the Setup section with its channels, such as “2 channels: General, Feedback”.
What Usertick reads from Microsoft
Signing in requests only your basic profile. Usertick reads your organization’s name and verified domains once, during the sign in, and keeps no Microsoft token. Posts come from the Usertick app with its own credentials. When an admin has to approve
Some Microsoft 365 organizations don’t let people approve apps themselves. In that case, Microsoft asks for an admin’s approval instead of finishing the sign in. An admin of the Microsoft 365 organization, such as a Global Administrator, Application Administrator or Cloud Application Administrator, can approve Usertick once for the whole organization, and everyone can sign in after that. If your organization controls which apps people can add in Teams, a Teams admin may also need to allow the Usertick app.Connect more than one Microsoft 365 organization
One Usertick organization can connect several Microsoft 365 organizations. To add one, select Add connection under Microsoft Teams and sign in with a work or school account of the other organization. Each connection gets its own setup section, titled Setup: and the organization’s name. A new Teams step starts with the connection the organization used last, or the default connection, and each step can use another one under Connection. Signing in again with an organization that is already connected updates its connection instead of adding a second one.Choose the organization a team posts for
When the app is added to a team, Teams shows the Set up Usertick dialog. The dialog depends on how many Usertick organizations connected your Microsoft 365 organization:
Several Usertick organizations can connect the same Microsoft 365 organization, for example two departments with their own Usertick organizations. Until someone makes a selection in the dialog, every one of them can post to the team. After a team is assigned to one organization, its row in that organization’s Settings shows Posts for this organization only, and the other organizations no longer see it.
To change the selection later, @mention Usertick in a channel of the team and choose Settings.
Post responses to a channel
In a workflow, add Microsoft Teams’ Post a message step and fill in its panel.
The workflow’s trigger sets when the step runs, and its Only if conditions and If / else steps decide which responses reach it. To post when a number crosses a line instead, see Send threshold alerts.
Write the message
The message uses Teams Markdown:**bold**, _italic_ and links written as [label](https://example.com). The default message is:
Group a day’s responses in one thread
With Day as one thread, the first response of the day starts a post with the survey and the date, such as “Checkout feedback · Wednesday, September 16”, and a count such as “3 responses so far”. Each later response that day is posted as a reply, and the count goes up. Each workflow and channel has its own thread.Test the step
During a workflow’s Test run, the Teams step posts a card to the channel immediately, marked “[Test]”, using the survey’s latest response or a sample response. A test card for a sample response keeps its buttons, but selecting one shows “The test used a sample response, so there is nothing to update. The buttons work on real responses.” See Test a workflow.Choose a channel
Usertick posts to a team’s standard channels, including General. Private channels aren’t supported, so workflow steps and reports need a standard channel.Act on a response from Teams
Each button acts in Usertick as the person who selected it, with that person’s permissions, and the change appears in Usertick under their name. Using the buttons requires a linked Teams account and the Manage responses permission. Without that permission, Teams shows “This action requires permission to manage responses in Usertick.”- Assign to me assigns the response to you. The card you see then shows Unassign me, which removes you again.
- Set status opens a list with Planned, In progress, Resolved and Archived. Select a status, then select Update.
- Set type opens a list with Bug, Idea, Complaint, Question and Praise. Select a type, then select Update.
Link your Teams account
Usertick needs to know which member selected a button. Most members are linked without doing anything:- By email. The first time you select a button, Usertick looks up your email in Teams. If the email is in one of your Microsoft 365 organization’s verified domains and matches a confirmed member of the Usertick organization, the accounts are linked automatically. An email outside those domains, such as a guest’s, never links automatically.
- With a link. Otherwise, Teams shows “To act on responses here, link your Usertick account once. Usertick sent a link to your chat with the app.” The Link your Usertick account card arrives in your personal chat with Usertick. Select Link my account, which opens Link your Microsoft Teams account in Usertick, then select Link account.
- From Usertick. In Settings → Preferences, Connect on the Microsoft Teams row links your account when a person in a team that has the Usertick app signs in with the email address of your Usertick account, in one of your Microsoft 365 organization’s verified domains. Usertick looks through up to 8 of those teams for a few seconds. When it couldn’t look through all of them, Usertick says so and shows how to link from Teams instead. See Notifications.
help in your chat with Usertick and select Link my account on the help card. Each link works once and expires after 15 minutes.
In Settings → Integrations → Microsoft Teams, the People row shows how many members are linked, such as “3 of 12 members linked”. See who lists them, each marked Matched by email or Linked from Microsoft Teams. Unlink in a row’s menu removes the link, and buttons that person selects in Teams stop acting as them until they link again. Members can unlink themselves, and members who can manage the organization can unlink anyone.
Send threshold alerts
A workflow can post to Teams when a number crosses a line instead of on each response. Set its Starts to When a number crosses a line, set the number and the line in the trigger’s panel, and add Microsoft Teams’ Post a message step. Alert when a number crosses a line lists the settings. Usertick checks the number every hour. NPS, averages and shares are evaluated only after the window has 30 responses. An alert is a single card with your message and an Open results button that opens the survey’s results. An alert has no response buttons and never joins a daily thread. The default message starts with a bold headline, such as “NPS fell below 30 on Checkout feedback”, followed by the numbers. The Alert group in Insert field holds the alert’s own fields, as Alert when a number crosses a line lists them.Scheduled reports
A scheduled report can post to a Teams channel instead of sending email. In Settings → Scheduled reports, select New report, set Send to to Microsoft Teams channel and select the Channel. If more than one Microsoft 365 organization is connected, select the Microsoft 365 organization first. On each scheduled send, Usertick posts one card with the report’s name, the organization, the survey or dashboard it covers and the period, and the headline numbers of its PDF with their change from the period before. Download the PDF opens the report’s PDF after signing in to Usertick and works for 30 days; the PDF shows the data the role of the person who opens it can see. Open in Usertick opens the page the report covers. In the reports list, the report shows the Microsoft Teams logo and the channel. If a report can’t be posted, for example because the app was removed from the channel’s team, the report’s Send history says why, and the next period sends as usual. Scheduled reports require the Pro plan or above. See Scheduled reports.Get your notifications in Teams
Your own Usertick notifications can arrive in your chat with the Usertick app. In Settings → Preferences, the Notifications section has a Microsoft Teams row with the same options as the other channels. The row starts at Off for every notification type. Select Everything, or select Custom to choose types under Choose what Microsoft Teams sends you. Each message shows the notification’s title, its text and an Open button. The row becomes available when Usertick can reach you. Until then it shows the reason:- “To link your Microsoft Teams account, select any button on a Usertick message in Teams, or type help in your chat with Usertick.”
- “Usertick cannot message you in Microsoft Teams yet. Add the Usertick app to a team you are in, or open your chat with it in Teams.”
Use your chat with Usertick
To open your personal chat with the app, select Open the Usertick chat in Teams in Settings, or find Usertick in your apps in Teams.- Welcome. When you add the app for yourself, Usertick sends Welcome to Usertick. The card shows whether your Microsoft 365 organization is connected, whether your account is linked, or a Link my account button.
- Help. Typing
helpshows what Usertick does in Teams and how to set it up.hi,hello, startand?also show the help. Any other message gets “Usertick didn’t recognize that message. The list below shows what the app does.” followed by the same help. - In a channel. When you @mention Usertick in a channel, the help appears as a reply. The link button is sent only to your personal chat, because anyone in a channel could select it.
Limits and retries
- Each Teams connection posts workflow messages at most five times a second. When responses arrive faster, messages wait their turn and post a little later.
- When Teams has a temporary problem, Usertick tries again after 30 seconds, 2 minutes, 10 minutes, 1 hour and 6 hours.
- A workflow whose runs fail 20 times in a row is paused, and members whose role has the Manage workflows permission receive “A workflow was paused”. After fixing the step, select Turn on. See When a step fails.
Remove the app or disconnect
If the app is removed from a team, Usertick can no longer post there, and the team’s channels disappear from the lists in Usertick. Workflow steps that post to those channels fail with “Usertick is no longer in this channel’s team. Add the app to the team in Microsoft Teams, then select the channel again.” Reports to those channels are skipped. Removing the app from every team doesn’t disconnect Usertick. The connection stays, and Setup offers Add to Teams again. Disconnect in the connection’s menu removes the connection. Workflow steps that use it stop sending until another connection is assigned to them, and the buttons on cards it posted stop working. The app stays in your teams, so signing in again finds them without adding the app a second time. Teams that the setup dialog assigned to your organization become available again to every Usertick organization that connected the same Microsoft 365 organization.Troubleshooting
- The channel list is empty. The list shows “No channels found. Channels appear after Usertick is added to a team in Microsoft Teams.” The app isn’t in any team of this Microsoft 365 organization yet, or the team was assigned to another Usertick organization. Select Add to Teams in Settings, then open the workflow’s Teams step again.
- “This step lists more values than its tool accepts. Microsoft Teams mentions up to 20 people.” The step’s Mention setting names more than 20 people, so Teams would leave the rest out. Remove people until 20 are left, then publish.
- “Teams did not return the channels just now. Try again in a moment.” Teams didn’t answer when Usertick asked for a team’s channels. Open Settings again after a moment. In a workflow step, the channel list shows “The list couldn’t be loaded. Try again in a moment.”
- “This link has expired. To get a new one, select a button on a Usertick message again.” A link works once and expires after 15 minutes. Select a button on a card again, or type
helpin your chat with Usertick, to get a new link. - “Usertick cannot message you in Microsoft Teams yet.” Your account is linked, but the app isn’t in your chat or in any team you belong to. Add the app to one of your teams, or open your chat with Usertick in Teams.
- “This card is too old to update here. To change the response, open it in Usertick.” Buttons work for 90 days, and stop working when the connection that posted the card is disconnected. Open the response in Usertick to change it.
- “This Microsoft 365 organization is no longer connected to Usertick.” The connection was removed. Sign in with Microsoft again in Settings.
- “Your Usertick account can’t take actions from Microsoft Teams right now.” The linked Usertick account is deactivated, is no longer a member of the organization, or was suspended because of the plan’s member limit. A suspended member can act again once restored. See Members suspended by the plan.
- Microsoft asks for an admin’s approval. See When an admin has to approve.
