# Exports and reports

> Export results and dashboards as PDF, Excel or CSV, export one response from the inbox, and send a survey or a dashboard as a scheduled PDF report by email or to a Slack or Microsoft Teams channel.

## Export results, a dashboard or a response

A survey's Results page and every dashboard have an **Export** menu with **Export as PDF**, **Export as Excel** and **Export as CSV**. In the inbox, each response has its own **Export** with PDF and a PNG picture. Exports are available on the Starter plan and above.

* **Results**: the PDF opens with the headline numbers (responses, completion rate, the main score and the median time), then shows responses over time, every question in the view selected on its card, who answered and the themes. The Excel file holds a summary sheet and one sheet per chart with its numbers. The CSV file holds the same numbers in one table, one row per value with its chart, row and column. An open-text question shown as **Answers** adds every written answer in the date range, and a choice question every answer typed into **Other**, with email addresses left out. Apart from those, neither file lists responses one by one; to move responses in bulk, use the [REST API](https://docs.usertick.com/developers/api/reference/list-responses.md).
* **Variants**: when the **Variants** tab is open, **Export** saves the comparison as the tab shows it: a table of the groups, then a table for each question with every group's result, its difference from the compared group and the verdict.
* **One question**: each question card on the Results page has its own **Export** menu for that question, with PDF, Excel, CSV and, when the question draws a chart, **Save chart as image**. Each card on the **Audience** tab has the same menu.
* **One response**: **Export** above a response in the inbox saves it as a PDF or a PNG picture: what the person wrote, every answer and the response's details. When **Include activity and notes** is selected in that menu, the file also holds the response's activity and notes. To export many responses at once, use the [REST API](https://docs.usertick.com/developers/api/reference/list-responses.md).
* **Dashboards**: the number cards run across the top, and every other card follows in the board's order.
* **One card**: each card's menu exports that card, and **Save chart as image** saves its chart as a PNG.

Exports follow the active filters, and a report's first line states its date range and every filter. Contact details and uploaded files never appear in a PDF, and the footer of every PDF page marks it confidential: "Confidential. This report holds survey responses collected by" and your organization's name. While an export is being prepared, the page says **Preparing your export**, and **Cancel** stops it.

## Scheduled reports

Scheduled reports are available on the Pro plan and above. After a move to a lower plan, reports aren't sent, and **Settings → Scheduled reports** marks each one with the plan it needs; the reports stay, and an upgrade sends them again on their schedule. A report sends a survey's results or a dashboard as a PDF on a schedule, by email or to a Slack or Microsoft Teams channel. The PDF is the same file that **Export as PDF** saves.

**1. Start the report**

Under **Settings → Scheduled reports**, select **New report**. **Schedule email report…** in the **Export** menu of a Results page or a dashboard opens the same form with that survey or dashboard selected.

**2. Name it and select what it sends**

The **Name** appears under the PDF's title and in the email subject. Under **What it sends**, select **Survey results** and a survey, or **Dashboard** and a dashboard.

**3. Filter it (optional)**

**Filters** under the survey or the dashboard narrows the report. A survey's report takes the same filters as the Results page except the date range, since the report's period is its range. A dashboard's report takes country, device, language and page, and a card with its own filters keeps them. The PDF's first line and the email name every filter.

**4. Select when it goes out**

Under **When**, select **Daily**, **Weekly** or **Monthly**, the day (a weekday, or a day of the month from the 1st to the 28th) and the time. The form names the time zone the report uses: your profile's time zone when you create it.

**5. Select where it goes**

Under **Send to**, select **Email**, **Slack channel** or **Microsoft Teams channel**. A chat tool can be selected once it is connected under **Settings → Integrations**. For **Email**, add up to 50 members of your organization under **Recipients**; for a channel, select the **Channel**.

**6. Select the files**

An email report always carries the PDF. **Excel file** adds the numbers behind every figure, or every card of a dashboard, as a spreadsheet: a summary and one sheet per figure. A scheduled report never carries the period's responses one by one; to move responses in bulk, use the [REST API](https://docs.usertick.com/developers/api/reference/list-responses.md).

The preview beside the form shows the PDF the report sends, with the numbers of its latest period. At the bottom, the form says when the report goes out first.

Each report covers whole days in its time zone: a daily report covers the day before, a weekly report the 7 days before its send day, and a monthly report the previous calendar month. Two sends of a report never count the same response twice, and the send time stays the same when the clocks change for daylight saving.

### What the email holds

The email opens like the PDF it carries: the report's title and period, then its headline numbers with the change against the period before. **Open in Usertick** opens the Results page or the dashboard. When the files together are larger than 9 MB, the email carries a **Download the PDF** link instead. The footer says who added you to the report and when it goes out, with **Stop getting this report**; email apps that offer their own unsubscribe button use the same link. When the last recipient stops getting a report, the report is switched off.

### Who gets a report

Reports carry response data, so email reports go only to members of the organization whose role can view surveys and opens what the report holds. A survey's report goes to a member of a role with selected surveys only when that survey is in the selection, and a dashboard's report goes only to roles with all surveys. When your organization requires two-factor authentication, a member who hasn't turned it on gets no report until they do. Usertick checks the recipients again before every send, so someone who left the organization or lost access stops getting the report. See [Survey access](https://docs.usertick.com/workspace/members-and-roles.md#survey-access).

A dashboard shared with the organization can be included in anyone's report. A private dashboard can be included only in its owner's reports. If a dashboard is made private later, other people's reports of it stop sending.

### The list of reports

The top of **Settings → Scheduled reports** shows the sends of the next 7 days; selecting one marks its report in the list. Each report shows what it sends, when it goes out, who or which channel gets it and how its last send went: the next send, **Last send failed** or **Last send skipped** with the reason when you point at it, or **Off**. The switch turns a report on or off when you save the change.

Each report's menu has:

* **Edit**: opens the form with the preview.
* **Preview PDF**: the PDF the report sends, with the numbers of its latest period.
* **Send now**: sends the latest period to everyone the report goes to. A report can be sent by hand up to 10 times a day.
* **Send me a copy**: emails the report to you alone, with the data your own role can open.
* **Send history**: every send with the period it covered, who it reached and, when it didn't go out, why. A send of the last 30 days has **Download PDF**.
* **Delete**.

### Send reports to Slack or Microsoft Teams

A report to a channel needs the tool connected under **Settings → Integrations**. Until it is connected, the form says "Slack is not connected yet. Connect it in Integrations, then select a channel here.", or the same for Microsoft Teams. When your organization has connected more than one Slack workspace or Microsoft 365 organization, the form asks for the **Slack workspace** or the **Microsoft 365 organization** before the **Channel**.

On schedule, Usertick posts one message to the channel: the report's name, the survey or dashboard and the period, and the PDF's headline numbers with their change. **Download the PDF** opens the report's PDF after signing in to Usertick and works for 30 days; the PDF shows the data the role of the person who opens it can see. **Open in Usertick** opens the Results page or the dashboard. When a report can't be posted, its send history says why, and the next period sends as usual. See [Slack](https://docs.usertick.com/integrations/slack.md#scheduled-reports) and [Microsoft Teams](https://docs.usertick.com/integrations/microsoft-teams.md#scheduled-reports).

## Data retention

How far back responses can be viewed and exported depends on the plan: 30 days on Free, 1 year on Starter, 2 years on Pro, 5 years on Business and a custom window on Enterprise. Older responses are hidden rather than deleted, and they show again after an upgrade.
