# Export your data

> Every way to get your organization's data out of Usertick, with its formats and the plans that include it, and how to switch to another provider.

Your organization's data belongs to your organization. This page lists every way to export it, with its formats and the plans that include it, and describes how Usertick helps when you move to another provider or to your own systems.

## Ways to export

| Route | What it holds | Formats | Plans |
| - | - | - | - |
| **Export** menu on a survey's Results page, a dashboard or a card | The figures: headline numbers and the numbers behind each chart, with samples of recent written answers. It isn't a copy of every response. | PDF, Excel, CSV, and PNG for one chart | Starter and above |
| **Export** above a response in the inbox | One response: what the person wrote, every answer and the response's details, and its activity and notes when **Include activity and notes** is selected. Contact details and files aren't included. | PDF, PNG | Starter and above |
| [REST API](https://docs.usertick.com/developers/api/overview.md) | Responses with their answers, files, respondent details, status, assignees, notes and AI readings; surveys with their questions, languages and settings; sites, themes, members and metrics | JSON, and files in their original format | Pro and above with API keys |
| [Webhooks](https://docs.usertick.com/integrations/webhooks.md) and integrations | New responses and events as they happen. Slack, Microsoft Teams, Google Sheets, webhooks and Zapier are on Starter and above; HubSpot, Jira, Linear and the other connections are on Pro and above. They don't send responses that arrived before you connected them. | JSON for webhooks, and each tool's own format | Starter and above |
| **Download** on a file in a response | One upload, screenshot or signature | The original file | Every plan |
| [Scheduled reports](https://docs.usertick.com/results/exports.md#scheduled-reports) | The same figures as the **Export** menu, on a schedule | PDF, and Excel when selected | Pro and above |

An Enterprise plan includes the routes that its order sets. [Exports and reports](https://docs.usertick.com/results/exports.md) describes the files in detail, and [The Response resource](https://docs.usertick.com/developers/api/response-object.md) describes the structure of a response in the REST API, in webhooks and in Zapier.

## Data without an export feature

Some data can be viewed in Usertick but has no export feature on any plan:

* contacts, with their attributes, unsubscribes and email delivery status;
* dashboards, workflows and themes, as definitions, and the media library as a whole;
* the activity log under **Settings → Activity log**.

Survey definitions export only through the REST API, and responses one by one only through the REST API, so the Free and Starter plans have no way to export them. When you switch to another provider, Usertick exports all of this for you on request, free of charge, as described below.

## Response history

How far back responses can be viewed and exported depends on the plan: 30 days on Free, 1 year on Starter, 2 years on Pro, 5 years on Business and the window set in the order on Enterprise. Older responses are hidden, not deleted, and the REST API follows the same window. They show again after an upgrade, and when you switch to another provider, Usertick exports them on request too.

## Before you delete the organization

Scheduling the [deletion of the organization](https://docs.usertick.com/account/delete-organization.md) switches off its API keys and connected apps at once. Until the deletion date, members can still open the organization and use the **Export** menus, but the REST API no longer answers. Export what you need through the REST API before you schedule the deletion, or make a switching request instead, which keeps everything running while you move your data.

## Switch to another provider

You can move your organization's data to another provider or to your own systems at any time, on every plan, the Free plan included. Usertick charges nothing for the switch, for the exports or for transferring the data. The binding terms are in section 19 of the [Terms of Service](https://usertick.com/terms).

**1. Send a switching request**

The organization's owner emails [support@usertick.com](mailto:support@usertick.com) from the owner's email address. Usertick handles switching requests on every plan. The request says whether you are switching to another provider (name it, with a contact Usertick can work with), moving the data to your own systems, or only asking for the data to be erased. It also gives the date on which the transition period starts, which can be up to 2 months after the request, and lists the data you want Usertick to export for you.

**2. Move your data during the transition period**

The transition period lasts 30 days, and your plan and everything in it keep working. Export what your plan's features cover. For the rest, Usertick's staff send the owner a secure download link during the transition period: records as JSON files, in the structure the REST API uses where it covers them, and files in their original format. A download link works for up to 7 days, and Usertick keeps each archive for 30 days, so it can send a new link on request. If 30 days isn't technically possible, Usertick tells you within 14 working days and sets a longer period of up to 7 months. You can extend the transition period once by telling Usertick before it ends.

**3. Retrieve anything left**

The agreement ends when you confirm that you have the data you need, or at the end of the transition period. Usertick then stops collecting responses and confirms by email that the agreement has ended. For the next 30 days, the retrieval period, Usertick keeps the data unchanged and exports it on request.

**4. Erasure**

When the retrieval period ends, Usertick deletes the organization and all of its data, as described in [Delete an organization](https://docs.usertick.com/account/delete-organization.md#what-is-deleted-after-14-days), and emails the owner when the deletion is complete. The organization's activity log is deleted with it. Backups are overwritten on a rolling schedule, and Usertick uses them only to recover the service. A request that only asks for erasure deletes the organization on the date it gives, without a retrieval period.

## What isn't exported

Usertick's own software and records stay with Usertick: the widget and the rest of the software, the templates, the question library and the instructions Usertick gives AI models; security data such as password hashes, keys, hashed IP addresses and sign-in sessions; and Usertick's purchase and support records, which its [privacy notice](https://usertick.com/privacy) describes.
